What meeting notes cost your team

Enter your own numbers. The calculator shows how many hours a year go into writing up and searching meeting notes, what those hours cost, and what you pay for AI notes licences on top. It doesn't assume that any tool saves a particular amount of time, so the result is the cost of the work as it is today.

List prices you can fill in with one click. Each was checked on the date shown; prices change, so check your own contract.

Gemini notes in Google Meet come with Google Workspace Business Standard and above, and Zoom AI Companion comes with paid Zoom plans, so neither has a separate per-seat price. Sources: microsoft.com, otter.ai, fireflies.ai.

How the numbers are worked out

Hours a year are the people, times the working weeks, times the minutes each person spends writing up notes and searching for what was said, divided by sixty. The cost is those hours times the hourly cost you entered. Licences are the per-seat monthly price times twelve, times the people.

The calculator leaves out things that are real but hard to price: a decision that gets re-argued because nobody wrote it down, a candidate's answer remembered wrongly, or a follow-up that never went out.

What changes with notes written for you

With Recordist, a call is transcribed on your Mac while it happens and the notes are written a few minutes after you hang up, with the decisions and the action items, each with an owner and a date when those were said. Searching for what was said takes one word. How much of the writing-up time that removes depends on how you work, which is why the calculator doesn't guess.
