Recordist vs Fathom
Fathom: Free-first cloud notetaker with a bot and CRM sync.
Fathom made its name with a generous free plan: unlimited recordings and storage, with AI summaries as the thing you pay for. Its notetaker joins Zoom, Google Meet and Microsoft Teams as a bot, records to Fathom's cloud, and gives you a clip-able video, a transcript and a summary a few minutes after the call. Sales teams like it for the CRM sync.
Recordist is also free-first, but for a different reason: recording and transcription cost us nothing because they run on your computer. What you pay for is unlimited AI notes and the extras. The bigger difference is that Recordist is never in the call and never holds your audio.

The bot
Fathom's bot appears in the participant list as "Fathom Notetaker". Hosts must admit it, participants can see it, and on some platforms a recording banner appears. Fathom's help centre is clear that consent is your responsibility, and the visible bot is one way of giving notice.
Recordist has no bot. It reads your operating system's audio-session state to notice a meeting, shows a confirm card, and records your microphone and system audio only after you click Record. Nothing is sent to Zoom, Meet or Teams, and nobody sees a new participant. You decide how to tell people; the app can remind you.
Where the audio goes
Fathom records and stores the video and audio of your meetings on its servers. That is what makes features like sharing a clip with a colleague possible, and it is also why Fathom is a data processor for every meeting you record. Its privacy policy and security page describe the controls; retention and access are ultimately Fathom's to manage.
Recordist writes audio to disk on your machine, transcribes it there with Whisper, and generates notes there with a local model unless you bring your own cloud key. There is no video capture at all. The Privacy Ledger shows every request the app has ever made, and on the default setup nothing about your meetings is on it.
Price and limits
Fathom's free plan includes unlimited recordings and a limited number of AI summaries per month. Premium is roughly $15 to $19 a month depending on billing and includes unlimited AI summaries, Ask Fathom and advanced formats; Team Edition adds shared libraries, coaching and CRM sync at a per-user price.
Recordist Free is unlimited recording, transcription, search and Prep Briefs with 14 days of Pro, then 3 AI notes a month. Pro is $6 a month or $48 a year and removes the notes limit, adds Ask, follow-up emails, templates, every export format and full agent access. Team is $9 per user per month.
Agent access and offline use
Fathom exposes Ask Fathom inside its app and offers Zapier and an API for automations. There is no MCP server or agent card; getting a meeting into Claude or Cursor means copying text or building a hosted integration.
Recordist's MCP server and A2A agent card run on your own machine. Your agents search and read meetings locally, with no hosted service in the middle. Recordist also works with no network at all; Fathom cannot record without one.
When Fathom is the better choice
If you want video clips you can share, if your sales team needs call summaries pushed into HubSpot or Salesforce without any setup, or if you want a free plan with no storage cap for recordings in the cloud, Fathom is the stronger product. Fathom also runs on Windows and Mac equally, where Recordist is a Mac app today with Windows in early access.
