Fireflies is the integration-heavy option among the bot notetakers. Its bot, Fred, joins Zoom, Meet, Teams and most other platforms, records to the cloud, and feeds transcripts and summaries into a long list of CRMs, project tools and chat apps. AskFred lets you query your meetings, and there is an API and, more recently, a hosted MCP server.
Recordist covers the recording, transcription and notes part on your own machine, exposes everything to your agents locally, and deliberately stops short of a hosted integration catalogue. Which one fits you comes down to where you want your meetings to live.

The bot
Fred is a visible participant. It is admitted by the host, sits in the roster, and can be set to join every calendar meeting automatically. That automation is convenient and is also the thing people complain about when a bot shows up to a call it should not have. Fireflies lets you control which meetings it joins, but its auto-join setting, which many teams leave on, means it records every calendar meeting unless you exclude one.
Recordist's default posture is "ask every time". The app notices a meeting and shows a card; if you do nothing, nothing is recorded. There is no participant to admit and no bot to forget to remove. For personal calls you click Snooze, and for the ones that matter you click Record.
Where the audio goes
Fireflies stores recordings and transcripts on its servers under your workspace. It publishes security documentation and offers data-retention controls on higher tiers, but the fundamental fact is that Fireflies is a cloud processor of your meeting audio, and integrations move the transcript further, into other vendors' systems.
Recordist keeps audio, transcripts and notes in one folder on your disk. Transcription is on-device. Notes are on-device by default; with your own cloud key, the transcript text goes to the provider you chose and nowhere else, and the Privacy Ledger records it. Deleting everything is one button.
Price and limits
Fireflies has a free plan with limited AI credits and storage. Pro is about $10 per seat per month billed annually ($18 monthly); Business is about $19 per seat annually ($29 monthly) with unlimited storage, conversation intelligence and team features; Enterprise is priced on request.

Agent access and offline use
Fireflies is one of the few incumbents with an MCP server, and it is worth saying so. It is hosted: your agent talks to Fireflies' cloud with an API key, and the meeting content it reads is the copy on Fireflies' servers.
Recordist's MCP server and A2A agent card run on your machine and read your local database. There is no API key to manage and no second copy of your meetings anywhere. Recording, transcription, search and local notes all work offline; Fireflies needs a connection for everything, including for Fred to join in the first place.
When Fireflies is the better choice
If your workflow depends on transcripts flowing automatically into Salesforce, HubSpot, Notion or Slack, Fireflies has spent years on exactly that and Recordist has not. If you want a bot to cover meetings you are not attending, only a bot can do it.
