Q: How do licence keys work?

After checkout, we email you a key in the form RECORDIST-…. Paste it into Settings → License. The app verifies the signature on your computer; no account is needed and the key is never sent to us. Pro keys work on the devices you use personally. Each key works until 7 days after the period you paid for, and every renewal emails you a new key to paste in, because the app never contacts us to fetch one. From version 0.3.13, with each update check, the app also reads a public list of withdrawn keys, such as refunded ones, and stops accepting a key on it; that request carries no key, id or account. A key bought at checkout shows who it is licensed to: the business name you gave, or else the billing name.

Everything that keeps a call safe is on every plan.

We don’t store your data. We can’t.

Your recordings, transcripts and notes exist only on your device. Recordist has no server that could hold them. We keep nothing about your meetings: only the email you give us for the beta or on a receipt, and what each form on this site says it stores.

If you choose a cloud AI provider for notes, the transcript goes from your computer to that provider under your own account. That is your choice, off by default, and listed in the Privacy Ledger.

Billing details

What does the 7-day trial include, and what happens when it ends?

A week of every Pro feature, with no card and no account: every call written up, the follow-up email drafted with the notes on every built-in template except Lecture, and Ask. Your 7 days start with your first recorded call of 10 minutes or more, or 14 days after you install, whichever comes first, so a quiet first week doesn't use them up. If you installed version 0.3.12, your trial started then and is unchanged. You can subscribe at any time, including during your 7 days; Pro carries on under your key, and your year starts the day you pay. Two days before the 7 days end, the app shows what you recorded and what stays free. When they end, nothing is taken from your data: recordings, transcripts, search and Prep Briefs (on a Mac) stay free with no limit. The Pro parts pause: AI notes drop to 3 a month, and Ask and follow-up emails switch off until you subscribe.

Is anything that keeps a call safe behind Pro?

No. By default it asks before it records. The record card, Copy notice and the mark of when you gave it, legal hold, edit history, the SHA-256 of each audio file, the Client work preset, the Privacy Ledger and every export are free on every plan, with no time limit. Pro is the work after the call: the notes, the follow-up draft and Ask.

What counts as an “AI note”?

Each time a model writes or rewrites a meeting's notes counts as one, whatever the template: the summary, decisions, questions and action items together are one. Basic notes written without a model (with No AI chosen, for a very short meeting, or after a provider error) don't count. Transcription, search and Prep Briefs are never metered.

How long is the audio kept?

By default, a meeting's audio is deleted after 30 days, and the transcript, notes and search index stay until you delete them. You can change this in Settings: keep audio for 7, 30 or 90 days, forever, or delete it as soon as the transcript is written. During the beta this works the same on every plan.

Can the notes be wrong?

Yes. Transcripts and notes are produced by software and can be wrong. Check them against the recording while the audio is kept: 30 days by default, or as long as you choose in Settings. Before the follow-up draft is saved, it is checked against the transcript, and a sentence made of words nobody said is taken out.

Can I switch between monthly and annual?

Yes. Until 30 November 2026, open the billing portal from recordist.app/billing or the link in your Stripe receipt and choose the other interval; a launch subscriber who switches then pays the launch price for the new interval. From 1 December 2026 the portal no longer switches intervals, because it can offer only one price per interval: write to support@recordist.app and we switch it by hand, at your launch price if you subscribed by 30 November 2026. Does Pro renew automatically?

How do refunds work?

Try every Pro feature free for 7 days before you pay, with no card and no account. Because you can try first, payments are not refunded, except in these cases. Within 24 hours of the first payment of a subscription, you can ask for a full refund, once per customer. To ask, email us from the address on your receipt, and we refund it and cancel the subscription in the same step. A yearly renewal is refunded in full if you ask within 7 days after the renewal date. We email you 30 days before it renews. Billing errors, such as a double charge or a charge after you cancelled, are always refunded. Monthly renewals are not refunded. Cancel any time and Pro runs to the end of the month you paid for. Otherwise payments are not refunded, including when you change your mind or do not use Pro, except where our Terms (recordist.app/terms) or the law where you live require it. What currency do you charge in, and is tax included?

Prices are in US dollars before tax, except in Canada, where they are in Canadian dollars at the same numbers; in the euro area, in euros; in the United Kingdom, in pounds sterling. The pricing page shows the price for where you are, and checkout charges that currency. In the United States you can choose to pay in Canadian dollars instead, with the USD · CAD switch under the price. Prices in euros and pounds include VAT, so the price shown is the price you pay. For prices in US or Canadian dollars, checkout works out any sales tax or VAT for where you live, at your country's rate, and shows the total before you pay. Elsewhere, if checkout shows the price in your own currency, that amount includes a conversion fee of 2 to 4 per cent set by Stripe; you can choose to pay in US dollars instead. Is there a lifetime plan?

No. Recordist is sold as a subscription so that the company can keep maintaining it; the annual price is the lower one over a year. Recording, transcription, search and Prep Briefs (on a Mac) stay free, with no time limit and no purchase, and nothing on your computer depends on a subscription.
